Help people to use our tools

We believe our tools like ERPNext can help organizations reduce waste and complexity. Frappe + ERPNext has the potential to be a “full stack” replacement for not only ERP (SAP/Oracle) but also the entire enterprise stack (Java/.NET). With this scope, we should help organizations by providing products and services to help them manage their technology platforms.

Challenges

Managing simultaneous renewable projects at scale created several issues for SWID Process Technology:

  • Limited visibility: Inventory movement and project progress were difficult to track in real time.
  • Manual coordination: Procurement, logistics, finance, and HR relied on manual processes, slowing execution.
  • Fragmented documentation: Critical files were scattered across tools with no controlled access.
  • Lack of centralised systems: Asset tracking, quality management, and field issue reporting were not integrated.
  • Data inconsistency: Using multiple systems raised concerns about data integrity. Zoho was used for inventory, Tally for finance, and Monday.com for project management.
  • SWID required a scalable, integrated platform to unify its processes, track project-wise costs, manage documentation, and ensure quality compliance.

Benefits

The ERPNext implementation transformed SWID Process Technology’s operations across more than 100 ongoing renewable energy and solar plant projects. From project planning and procurement to HR and asset management, all functions are now integrated within a unified, scalable platform.

  • Real-time visibility and profitability across projects: Dashboards show live project progress and material movement between warehouses and field sites. Teams can track execution timelines, pending tasks, and stock availability, enabling faster, data-driven decisions.
  • Serialised inventory and warranty tracking: Each inverter, panel, and major component is tracked by serial number, from procurement to installation site and technician. Warranty dates, issue history, and service logs are recorded, simplifying claims and preventive maintenance planning.
  • Streamlined procurement with supplier performance metrics: Automated workflows manage purchase requests, supplier evaluation, purchase orders, and delivery tracking. Supplier scorecards monitor on-time delivery, quality, and pricing, supporting better sourcing decisions.
  • Integrated asset, quality, and issue management: Assets are tracked in real time with full lifecycle data on location, condition, and service schedules. Quality inspections at incoming, in-process, and final stages ensure adherence to technical standards. Field engineers log site issues in the Support module, which are resolved through structured workflows and alerts.
  • Consolidation into a single digital platform: ERPNext replaced multiple tools, including Zoho (Inventory), Tally (Finance), and Monday.com (Project Management). The unified database ensures consistency, fewer errors, and 60% less manual reconciliation.
  • Enhanced human resource management: Recruitment workflows standardise hiring, shorten cycle times, and ensure compliance. Training modules support onboarding, technical learning, and skill tracking for engineers and field staff. Payroll, attendance, and appraisals are fully integrated, automating HR processes.
  • Centralised, secure document sharing with Frappe Drive: Site teams access drawings, technical documents, SOPs, and reports with permission controls. This removes version conflicts and ensures stakeholders always work with the latest information.
  • Future-ready and scalable: The modular system supports IoT integration, predictive maintenance, and O&M workflows. Mobile access allows real-time updates from remote sites, improving responsiveness and collaboration.

Impact

Successful on-time ERPNext go-live

Increased sales order to cash

Increased inventory turnover

The implementation of ERPNext by transformed SWID Process Technology’s ability to manage and scale renewable energy projects.

  • Improved operational efficiency: Project planning, inventory tracking, procurement, and HR processes are now tightly integrated, reducing coordination delays. Procurement and material movement time has been cut by 30% through centralised inventory visibility and workflow automation.
  • Enhanced project delivery and visibility: Real-time dashboards provide leadership and project managers with live insights on progress, costs, and bottlenecks. Project-wise financial tracking enables proactive cost control and quicker corrective actions.
  • Stronger governance and compliance: Standardised documentation, quality checks, and issue resolution processes have strengthened compliance across procurement and project delivery. Serialised asset tracking improves warranty management, lifecycle monitoring, and reduces asset losses.
  • Data integrity and unified decision-making: The shift from Zoho, Tally, and Monday.com to a single platform has eliminated silos and improved data consistency. Leadership now works from a single source of truth for reporting, metrics, and business planning.
  • Empowered workforce and training outcomes: Digitised recruitment, onboarding, and training have enhanced employee readiness for project-specific roles. Field staff follow structured learning paths via the LMS, improving compliance with SOPs and safety protocols.
  • Scalability for future growth: ERPNext enables SWID to onboard new projects, teams, and functions seamlessly. The platform is also prepared for upcoming needs such as IoT integration for solar performance monitoring, predictive maintenance, and extended O&M workflows.
We are very happy with the single view of the operations available with ERPNext on Frappe Cloud. Indiba Business Solutions has shown a strong ownership in ensuring the success and driving the change management, and we recommend IBSL to our business partners as well.
